This Privacy Policy explains how Cost Impact Monitor, operated by Daniel Diosi & Partners, collects, uses, and protects information in connection with the use of our platform at costimpactmonitor.com. We are committed to full compliance with the General Data Protection Regulation (GDPR) and handle all data with care and transparency.

We collect only what is necessary to operate the platform and maintain your account:
Account information: name, email address, and organisation details provided at registration.
Usage data: anonymised behavioural data collected via Google Analytics, including pages visited and time spent on site. This data is aggregated and cannot be used to identify individual users. No other tracking tools or third-party analytics are installed on this platform.
Platform data: the cost entries, KPI figures, and configuration settings you and your team input into the platform. This data belongs to you. It consists of numerical figures, category labels, and reference codes. No sensitive personal, financial, or commercially identifying information is required or requested.
3. What We Do Not Do
We do not sell, share, or transfer your data to third parties for any commercial purpose.
We do not use your platform data for any purpose beyond operating the service you have subscribed to.
We do not send marketing or promotional emails. Communication from us is limited to matters directly related to your account and subscription.
We do not build profiles of your organisation or its spending patterns for any purpose beyond delivering the analysis you request within the platform.
4. AI Analysis and Third-Party Providers
The AI Analysis module transmits a limited, anonymised subset of your platform data — numerical figures and reference codes only, with no company name or identifying context — to an AI provider for the purpose of generating your requested analysis. By default, this provider is Anthropic. Clients who configure their own API key direct this data to their chosen provider instead.
Data transmitted for AI analysis is governed by the terms of the respective AI provider’s API data policy. We recommend reviewing your chosen provider’s terms if this is a compliance consideration for your organisation.
5. Data Storage and Security
All platform data is stored on servers located within the European Union, in compliance with GDPR requirements for data residency. We apply appropriate technical and organisational measures to protect your data against unauthorised access, loss, or misuse.
6. Your Rights
Under GDPR, you have the right to access the personal data we hold about you, request correction of inaccurate data, request deletion of your data at any time, and request an export of your data in a portable format.

7. Data Retention
We retain your account and platform data for the duration of your active subscription. Following cancellation or expiry, your data is retained for 90 days to allow for export requests, after which it is permanently deleted unless retention is required by law.

We use cookies solely for platform functionality and Google Analytics. No advertising or behavioural tracking cookies are used. You can manage cookie preferences through your browser settings.
9. Changes to This Policy
We may update this policy from time to time. Material changes will be communicated to active subscribers by email. Continued use of the platform following notification constitutes acceptance of the updated policy.
